GTA daycare waitlist survival guide
Toronto's childcare market is one of the most competitive in Canada. Here's how to get on waitlists early, stay on them, and convert a waitlist position into an actual spot.
The reality of GTA waitlists
In the Greater Toronto Area, licensed childcare waitlists routinely stretch 12 to 24 months. Infant spots are the tightest — many centres open their list a year or more before the desired start date and fill it entirely from re-confirming families. If you wait until you need care, you are almost certainly too late.
Start early: when to apply
- During pregnancy: Ideal for infant spots starting at 12–18 months.
- 12 months before need: Minimum for toddler or preschool spots in popular neighbourhoods.
- 6 months before need: Realistic only for less competitive centres or older age groups.
There is no penalty for applying too early. The only risk is forgetting to re-confirm and dropping off the list.
The 90-day re-confirmation rule
Most GTA centres require parents to re-confirm their interest every 90 days. This is the single biggest reason families lose their spot. The email or call usually arrives with little warning, and missing the window means removal from the list.
Best practice: when you join a waitlist, note the re-confirmation date immediately and set a reminder 7 days before. If a centre does not specify a schedule, assume 90 days and confirm proactively.
How many waitlists to join
| Strategy | Number of lists | Best for |
|---|---|---|
| Minimal | 3–5 | Families with flexible timing or backup care |
| Balanced | 5–10 | Most GTA families seeking a reliable spot |
| Aggressive | 10–15+ | Infant spots in high-demand neighbourhoods |
Diversify by location: include centres near home, near work, and along your commute. A centre that is slightly less convenient but available on your timeline beats an ideal centre with a 3-year wait.
What to ask when you join
- What is my position on the waitlist?
- When is the next re-confirmation due?
- Is there a deposit, and is it refundable?
- What age groups are you currently prioritizing?
- Do you offer part-time or flexible enrolment?
- How much notice will I get if a spot opens up?
Convert the offer into a spot
When a centre contacts you with an opening, speed matters. Many centres give families 24 to 72 hours to accept and submit a deposit. Have your documents ready in advance: proof of address, child's birth certificate or health card, and subsidy application confirmation if applicable.
If the timing is not quite right, ask about deferred start dates or part-time options. Some centres will hold a spot for a few weeks if you commit with a deposit.
Waitlist tracking strategy
Spreadsheets work, but they require manual checking. The critical fields to track for every centre are:
- Centre name, address, and contact
- Date you joined the waitlist
- Your position (if disclosed)
- Next re-confirmation deadline
- Deposit amount and refund policy
- Replies and status updates
A dedicated tracker sends you a reminder before each 90-day re-confirmation so no spot slips through the cracks.
Daycare Tracker is a free tool built for GTA families. Track every centre you've contacted, log replies, and get automatic reminders before your 90-day re-confirmation deadlines.
